Purchases & Bookings

Abode has partnered with Acuity Scheduling for its booking system.

All purchases and bookings are made through Abode’s Client Scheduling Page. This can be accessed throughout Abode’s website and also on its social media platforms, as well as through the Acuity Scheduling Client mobile app.

Abode's scheduling limits allow clients to book classes up to 30 days in advance, but no later than 24 hours before the scheduled start time of a class.

Single group classes can be booked and paid for directly as stand-alone purchases, or booked with redeemable codes as part of a larger package.

When purchasing Standard Packages clients will receive a redeemable code which has a set time value equal to a pre-specified amount of group classes. Each time the code is redeemed it will deduct the time value of a single group class (50 mins) from the balance of the package.

The expiry dates for Standard Packages are activated upon purchase. Their codes are valid until the expiration date, however clients can use a code to book a class as far into the future as scheduling limits allow.

When purchasing Flow Packs clients will receive a code that is redeemable for unlimited group classes.

Clients book group classes at their own discretion on a first come, first served basis.

Private classes do not hold any regular place on the schedule, they are included at the request of clients only.

Once a private class has been requested, and its date / time arranged, it will be added to the schedule (hidden from Abode's main scheduling page link) and a unique direct scheduling link will be sent to the client/s so that they may complete the purchase / booking.

This link should not be forwarded, as anyone else who gets it can book the class too.

Clients must accept Abode's terms & conditions before completing any purchase.

Clients must accept the terms of Abode’s participation waiver before completing any booking.

Bookings are considered complete once clients have received a booking confirmation from Abode.

Clients must not attend any classes without having first received a booking confirmation.

If no booking confirmation is received then clients may contact Abode to make an enquiry.

No-Shows / Late Arrivals

If a client doesn’t show up to a booking it goes down as a “no-show”.

Abode allows a maximum of 10 minutes for late arrival to a class. Late arrivals beyond this point may be refused entry to the class and have their booking counted as a no-show.

If a client has a booking counted as a no-show, they will not be re-credited with the value of that booking, and will be charged a fee equal to the original full price of that booking.

Where possible this fee will be collected by charging the card that is on file. Otherwise clients will be sent an invoice requesting the amount required, which they will have 30 days to pay.

Failure to pay this fee could result in any upcoming bookings / ongoing packages being cancelled without refund and Abode permanently withdrawing all of its services from the client.

Abode reserves the right to make exceptions to this no-show policy, at its own discretion, in the event of emergencies.

Rescheduling

Clients can only reschedule bookings if there is appropriate notice (minimum 24hrs before the scheduled start time). Without appropriate notice rescheduling is not possible.

To reschedule bookings, clients click Change/Cancel appointment in the initial confirmation email they receive after booking. This takes them back to their confirmation page, where they can click Reschedule to choose a new date and time.

Cancellations

Cancellation of Single Class Bookings:

To cancel bookings, clients click Change/Cancel appointment in the initial confirmation email they receive after booking. This takes them back to their confirmation page, where they can cancel.

If a client cancels a booking with appropriate notice (minimum 24hrs before the scheduled start time) they will be re-credited with the value of that booking (in the form of their original purchase).

If a client wants to cancel a booking without appropriate notice (minimum 24hrs before the scheduled start time) they will no longer have the option to make the cancellation themselves. They will instead have to contact Abode and request that a "late cancellation" is made on their behalf. In the event of a late cancellation the client will not be re-credited with the value of their booking.

Abode reserves the right to make exceptions to this late cancellation policy, at its own discretion, in the event of emergencies.

Cancellation of Bookings After the Expiry Date of a Package:

Once a package has expired, its code is no longer valid and cannot be used to book any further classes. As such, any value re-credited to an expired package after cancelling a booking is essentially redundant. For this reason, under these specific circumstances, clients are advised to reschedule rather than cancel so as not to lose the value of their booking.

Cancellation of Standard Packages:

Standard packages can only be cancelled and refunded so long as they have not been used to book and attend any classes. If a client wishes to cancel a standard package (Flash Pack / 5 Pack / 10 Pack), and receive a full refund, they have 24 hours from the moment of purchase to do so. Any bookings made that would be counted as late cancellations in the event of a package cancellation, will have their value deducted from the final value of the refund. To make the cancellation, clients must contact Abode and request that their package is cancelled.

Cancellation of Subscription Packages (Flow Packs):

Abode’s “Flow Packs” are automatically renewing, subscription based services.

Clients can cancel a Flow Pack at any time but the cancellation won’t take effect until what would’ve been the next renewal date. As such they are non-refundable and any existing balance on their subscription can still be redeemed up until that point. However, moving forward the subscription code will not be reloaded.

Clients are responsible for making cancellations with appropriate timing. I.E. Before the current billing cycle has ended / new billing cycle has begun.

Subscription renewal reminder emails will be sent to clients 7 (Flow Pack - Monthly) and 20 (Flow Pack - Yearly) days prior to their subscription renewal date.

Abode is not liable if a client “misses their chance” to make a cancellation.

In the absence of a cancellation, a Flow Pack will automatically renew and the client will be automatically charged for another cycle (either monthly or yearly depending on the type of Flow Pack).

This process will continue indefinitely, until a cancellation is made by the client.
 
Failure to make a payment on a Flow Pack could result in any upcoming bookings / ongoing packages being cancelled without refund and Abode permanently withdrawing all of its services from the client.

A 5 day grace period is allowed for clients to make payment, during which any upcoming bookings will be cancelled.

Cancellation of Bookings by Abode:

Abode reserves the right to cancel any bookings at its own discretion.

Clients will be informed of any booking cancellations and re-credited with the value of that booking (in the form of their original purchase).

Illness or Injury

In the event of illness or injury, packages can be cancelled and re-started with whatever remainder applies, at Abodes discretion, upon presentation of a certified medical note from a doctor which clearly states that a client should not participate in any exercise based classes.

Workshops / Special Events / Retreats are one-time events and cannot be frozen.

Personal Detail Requirements

Clients are responsible for informing Abode of any injuries, illnesses, pregnancy and/or changes to medication.

Clients are responsible for updating Abode on any changes to their personal details.

Parking

Free parking is available directly outside of Abode and also throughout the rest of the grounds at Battlers Green Farm. All vehicles are parked and left entirely at the owner’s own risk, Abode cannot be held responsible for any theft or damage.

Dress Code

Clients must wear clothing appropriate for the class that they are attending.

Grip socks are recommended for Reformer Pilates classes.

Mobile Phones & Electronic Devices

Mobile phones and electronic devices should be either kept on silent mode or switched off.

Third Party Links

Abode may include links to third parties on its website and social media platforms. If so, this does not mean that Abode shares its terms & conditions with that third party. Each third party will have its own set of terms and conditions which should be reviewed independently from one another.

Liability

Personal belongings brought into Abode are bought and left entirely at the clients own risk. Abode is not liable for any loss or damage to personal belongings.

Participation in any of Abode’s activities and/or the use of any equipment or facilities at Abode is entirely at the clients own risk.

Clients must not use any equipment, or undertake any activity unless they are satisfied that they are competent to do so in a safe and proper manner.

Abode takes no responsibility whatsoever for any accidents or injuries incurred whilst on its premises.

Clients are responsible for their own health and safety, as well as that of others with whom they are sharing the space.

As such, they are responsible for any loss or injury that is caused to themselves, or others, or to Abode’s equipment & facilities, through unsafe or improper use.

This includes failure to advise staff of a medical condition relevant to the use of Abode’s equipment or facilities.

Abode’s staff are not medically trained and are therefore not qualified to assess whether a client is in a good physical condition or whether participating in a class will be detrimental to their health. If a client is unsure whether or not they are fit to take part in a class, it is their responsibility to consult a healthcare professional beforehand. It is also the clients responsibility to notify staff if they feel any pain or discomfort or light headedness or dizziness during a class.

Miscellaneous

Minimum age of 16 required for clients to participate in any classes held at Abode unless otherwise stated.

Abode reserves the right to remain closed during holiday periods.

To enter and leave Abode, clients must use the main door unless advised otherwise.

Clients must sign in at The Hub before attending any classes.

In the event of a fire, clients must follow the instructions of staff and must use the nearest exit available, leaving belongings behind.

Smoking is prohibited on Abode’s premises.

All marketing, educational documents, website content, logo, pictures or other materials produced by Abode, remain the property of Abode.

General

Abode reserves the right to withdraw its services from clients that breach any of its Terms & Conditions.

Abode reserves the right to waive any breach of its Terms & Conditions, without affecting its ability to enforce them, or any particular part of them, at a later date.

Abode reserves the right to withdraw its services from clients that display unreasonable or inappropriate behaviour.

Abode reserves the right to refuse any of its services to any clients at its own discretion.

Amendments

Abode reserves the right to make changes to its Terms & Conditions at any moment.

After any changes have been made, the latest version of the Terms & Conditions will be available to view on the Abode website: www.therealabode.co.uk
